The Spaces page has two views: Spaces, your library, and Calendar, every space and what is in it day by day.

The space calendar is a Pro feature.

Read the calendar

Each row is a space and each column a day. Pick 7, 14 or 30 days at the top.

  • Confirmed: an event in that space.
  • Request: a customer asked for the space and you have not confirmed yet. A request holds nothing.
  • Held by you: a time you took yourself.
  • Double booked: two confirmed bookings overlap in a space that can only take one. Red, so you can't miss it.
Click a day to see what is in the space, with links to the request or the event. On a phone the calendar shows one day at a time, a list per space.

A space set to Not exclusive can hold several parties at once, so overlaps there are never marked as double bookings.

Hold a space yourself

For a renovation, your own event or a booking taken by phone:

  • In the calendar, press Hold a space, or click a day and choose Hold this space.
  • Pick the space, the days, and the whole day or a time.
  • Add a note if you like. Only you see it.
  • Press Hold space.
Customers see that time as taken. To give it back, click the day and press Release.

A space on an event you made yourself

When you create an event by hand, choose its Space under the event's details. Turn on Hold the space and customers see it as taken for the event's date and hours. An event that came from a request keeps the request's space.

Space setup

A hall can seat 120 at a banquet and 200 as a theatre. Under Space setup in the space's editor, add the setups the space can take, each with its own seat count, a description and a picture or floor plan. The extra setup time and the note for the crew stay with you.

Turn on Customer picks the setup and the customer chooses the setup in the calculator, and its seat count becomes the limit for that booking. With it off, you choose the setup on the request.

The chosen setup shows on the request, the event and the calendar, and it travels with the space's name to the emails and the PDF.
