Set up named spaces and suites

If your venue has named suites, boxes, or seating areas, guests can pick theirs while ordering instead of you sorting it out afterward from a free-text field.

Your spaces library

Spaces live in one library per workspace, so the same "Suite 101" can be offered in several calculators.

• Open Spaces from the menu on the left.
• Press Add a space. The space opens in its editor.
• Fill in the name customers see (e.g. "Aitio 101"), the guest number it suits and optionally a Room or suite number.
• Press Save.

Each section of the editor says who sees it: Customer sees or Only you. The preview beside the form shows the space as the customer meets it in the calculator.

Deleting a space removes it from every calculator it's offered in. CaterWay asks you to confirm first.

Offering spaces in a calculator

The library alone doesn't put spaces in front of customers. You choose them per calculator:

• Open the calculator in the builder and go to the Spaces tab.
• Turn the section on with the switch.
• Pick a space from your library, or press Add a space to create a new one.
• Use the arrows to set the order. The pencil opens the same editor as the Spaces page.

A space is edited in one place only, so a change made from the builder shows on the Spaces page and in every calculator that offers it.

Two different numbers

A space can carry two. Best for is how many it seats comfortably. It stops nothing: the customer sees it beside the name, and a larger party is told the space will be a tight fit and can pick it anyway.

The Set a firm limit switch, and Most guests you will take under it, do not refuse a booking on their own. By default nothing on a space turns a party away. Every space is offered whatever the party size, the number reads as advice, and the guest count the customer typed is never rewritten for them.

When to narrow the list

The guest count is asked before the space is chosen, so each calculator can decide whether to narrow the list to what the party fits into.

In the calculator builder, the Spaces tab has Show only spaces the party fits. Turn it on where a capacity is genuinely absolute, an arena suite that seats twelve and no more. Spaces the party does not fit into then drop out of the list, and the guest count cannot go past the space they picked.

What guests see

On the calculator, guests choose their space alongside the rest of their order, the number shown next to each name so a party of 20 knows which suites will be snug.
