Publish and share an arena event

Once an arena event exists, decide how customers reach it, buried inside your full calculator, or via its own link.

Who can see it

While creating or editing an arena event, Visibility decides who reaches it.

• Shown in the calculator is the normal case: the arena event appears in the event list on every calculator you assigned it to, and its own link works too.
• Link only keeps it out of the event list while its own address keeps working. Use it for a box you are selling to one company, or for an arena event you want to finish before anyone stumbles on it.
• Hidden switches it off everywhere, its own link included.

Connecting it to a calculator

Assign an arena event to a calculator (from the arena event itself, or from the calculator builder's Arena Events tab) and it appears on that calculator for every customer who opens it, alongside your normal menu.

The direct link

If you also set a URL slug on the arena event (letters, numbers, and hyphens), CaterWay builds a direct link in the shape:

Opening that link takes a customer straight to your calculator pre-filtered to this one arena event, instead of your full catalog. It needs your firm's URL slug (set in Brand settings) and the calculator's own slug to work, CaterWay tells you which one is missing if the link isn't ready yet.

Share that link directly (poster QR code, event page, a text to the group organizing the box), it works without the customer needing an account.

Closing orders before the event

You cannot cook for a match that starts in an hour. Ordering cutoff, at the top of the calculator's Arena Events tab, sets how long before an event starts ordering closes, and what the customer reads instead of the menu. Every arena event on that calculator follows it unless you open the arena event and give it its own time, or tell it never to close early.

A closed arena event does not vanish. It stays in the list marked closed, and tapping it opens what you wrote, plus whichever ways onward you offered: another of your calculators with a shorter menu you can still deliver, a phone number, an email, or nothing but the message.

An arena event with no start time is measured from midnight on its own day, which closes it earlier rather than later. The optional Ends field is the other end of the same question: an end time earlier than the start means the next morning, so a night running 18:00 to 04:00 stays open until 04:00 and only then leaves the list.

Rescheduling from the calendar

Arena events show up on the events calendar as their own colored chips, drag one to a new date or time and CaterWay asks you to confirm the change before saving it, same as moving a private event.
