Get a product onto the Warehouse page

An empty Warehouse page is not a bug. Tracking is opt-in per product, because most of what a caterer sells is cooked to order and counting it would be meaningless. You turn it on for the things that are genuinely finite: the glasses, the chafing dishes, the crate of bottled beer in the back.

Rentals are already halfway there

A rental tracks stock through its own quantity field, so all it needs is a number.

• Open Products from the menu on the left.
• Open the product (the pencil on its card opens Edit product).
• Scroll to Advanced at the bottom of the form and open it.
• Switch on Rental item if it is not on already.
• Fill in How many you have.
• Save.

It appears on the Warehouse page from that point on. The full rental setup, including how the quantity is counted on a quote, is in Rent out tableware and equipment.

Sale items need the tracking toggle

Anything you sell rather than lend needs to be told to count itself.

• Open the product and expand Advanced, the same as above.
• With Rental item off, you will see Inventory tracking. Switch it on.
• Fill in How many you have.
• Save.

Turning this on caps what a customer can order at what you actually have on hand, rather than letting them order forty of something you have nine of.

Several at once

Opening twenty products one at a time to type twenty numbers is a bad afternoon. The Warehouse page has a shortcut.

• Open Warehouse.
• Click Import products.
• Choose sale products to track: tick everything you want counted. Rentals and products already being tracked are greyed out, because they have nothing to add here.
• Click Next to reach Set starting balances, and type how many of each you have on hand right now.
• Click Import to warehouse.

All of them start tracking at once, and each starting balance is written into that product's stock history as its first entry, so the log begins with a real number rather than out of nowhere.

Turning it back off

On the Warehouse page, open a row's More actions menu and choose Remove from stock tracking. The product leaves the page but keeps its balance, so bringing it back later picks up where you left off.

Good to know

• Tracking counts items, it does not change prices. Nothing about a product's pricing moves when you turn this on.
• What a customer sees when a tracked product runs out is your choice, hidden or marked sold out. See Warehouse settings.
• Products in an info-only category cannot be ordered at all, so tracking them would count something nobody can book. See Show something without selling it.
