Decide when a quote holds your stock

Two settings sit behind the gear icon at the top of the Warehouse page. Both apply to your whole workspace rather than to one product, which is the point: you want one answer to each of these, not thirty.

Does a sent quote reserve the items?

A sent quote reserves the items is on by default. With it on, the moment you send a quote its tracked items count as reserved, and they stay reserved until the customer accepts or declines. Two customers can never be promised the same 120 glasses at once.

Turn it off and only accepted orders reserve anything. A quote sitting in someone's inbox holds nothing back.

Which one you want depends on how you work:

  • Leave it on if your quotes usually turn into orders, or if the item is genuinely scarce and double-booking it would ruin a Saturday. The cost is that a customer who never replies keeps your stock tied up until you decline the quote for them.
  • Turn it off if you send a lot of speculative quotes that mostly go nowhere, and you would rather see true availability than a page full of phantom reservations.
Either way the unanswered quotes are visible: with the setting on, the banner at the top of the Warehouse page tells you which ones are holding stock, so a stale quote is something you can see and close rather than something that quietly eats your inventory.

What a customer sees when it runs out

Sold-out products in the calculator has two options.
  • Hide it removes the product from the calculator entirely once its tracked stock reaches zero. Cleanest, and the customer never knows they missed it.
  • Show as sold out keeps it visible but marked. Slightly more honest, and it tells a customer that you do carry the thing, which is worth something if they are planning a date further out.

How to change either one

  • Open Warehouse from the menu on the left.
  • Click the gear icon at the top right of the page. Warehouse settings opens.
  • Change what you need. The dialog reminds you that this applies to the whole workspace.
  • The change saves as you make it, and you get a confirmation.

Good to know

  • These settings only affect products that track stock. Everything untracked behaves exactly as before.
  • Declining a quote releases its reservations immediately, so keeping the quote list tidy is also keeping your stock honest.
  • Cancelling an event returns its stock too, and the return is written into the product's stock history as Event cancelled, stock returned.
