Send the orders to your bookkeeper

Export at the top of the page downloads the period you are looking at as a CSV, which opens in Excel, Numbers, Google Sheets and anything your bookkeeper uses.

What is in the file

One row per accepted order in the period: event date, customer, email, guest count and total.

The file is named after the period. Two months downloaded on the same afternoon do not overwrite each other in your downloads folder, and the name still says what it is a month later when somebody asks.

Which export you want

There are two, and they are for different jobs.

Reports โ€บ Export is the accepted orders of a period, in a few columns, for handing to somebody outside your business. Quotes โ€บ Export CSV takes every column of every quote matching whatever filters you have set on the quote list, accepted or not. That is the one for your own analysis: chasing declines, checking a particular calculator, pulling a customer's whole history.

If somebody asks for "the sales figures", they want the first. If you are trying to answer a question yourself, it is usually the second.

The PDF, on your own letterhead

Next to the CSV there is a PDF. The Export card lists every card on the page as a tick box, so you decide what goes in: the VAT split alone for your accountant, or the whole period for yourself.

The file carries your logo, business name, business ID and VAT number at the top, and the period under them. Those come from Settings โ€บ Business, and anything you have not filled in is simply left off rather than printed empty.

Send the PDF to somebody who has to read it. Send the CSV to somebody who has to calculate with it.

Good to know

The export follows the period buttons, so set the period first and download second. It is the same set of orders the Sales card counted, which means the totals reconcile.
